What We Learned

The first firm we spoke with had 12 years of project history spread across three different SharePoint instances. Nobody knew what was where. A senior director told us he'd given up searching and just called people directly. "Faster to interrupt someone than dig through folders."
At another firm, we watched an analyst spend an entire morning hunting for a market sizing model. It existed. She'd seen it before. But the file was named something generic, buried in a client folder from 2019. She eventually rebuilt it from scratch.
A third firm showed us their RFP process. Proposals were time sensitive. The BD lead had a personal stash of "good examples" on her desktop. When she went on vacation, response times doubled.
The pattern was always the same: the knowledge existed, but it was locked away. In folders nobody navigated. In the heads of people who were too busy to be interrupted. In documents with names that made sense to whoever created them three years ago.
